Overview
File Manager is committed to protecting the privacy of its users. This policy explains what information is collected, how it is used, and how it is protected. This system is operated exclusively for authorized personnel of Mindanao State University–Sulu.
Information We Collect
When you sign in using Google OAuth, we collect the following information from your Google account: your full name, email address, and profile picture. No passwords are stored — authentication is handled entirely by Google.
How We Use Your Information
Your name, email, and profile picture are used solely to identify you within the system, display your account details, and enforce role-based access control. Your email address may also appear in document share notifications sent to other authorized users.
Data Storage
Your account information is stored in a secured database accessible only to the system and its administrators. All data is retained for as long as your account remains active. Administrators may deactivate or remove accounts at any time.
Cookies and Sessions
The system uses a single essential session cookie (PHPSESSID) to maintain your login state. This cookie is HttpOnly, SameSite=Lax, and expires when you close your browser or log out. No tracking or advertising cookies are used.
Third-Party Services
The only third-party service used is Google OAuth 2.0 for authentication. The sign-in process is handled server-side. We do not share your information with any other third parties.
Your Rights
You may request access to, correction of, or deletion of your account data by contacting the system administrator. Deletion of your account will remove your personal information from the system database.

By accessing and using File Manager, you agree to be bound by the following Terms and Conditions. This system is intended exclusively for authorized personnel of Mindanao State University–Sulu.
1. Authorized Use
Access to File Manager is restricted to holders of an active @msusulu.edu.ph Google account. Your assigned role — Viewer, Staff, or Admin — determines the actions you are permitted to perform within the system. You must not share your login credentials or allow unauthorized persons to access the system through your account. Automated access, scraping, or use of bots is strictly prohibited.
2. User Responsibilities
You are solely responsible for all activity performed under your account. Documents uploaded to the system must be official university records only. Personal, confidential non-university, or illegal content must not be uploaded. Any suspected unauthorized access or security vulnerability must be reported to the system administrator immediately. Attempting to circumvent access controls, inject malicious code, or tamper with data is strictly forbidden and may result in disciplinary or legal action.
3. Data and Documents
All documents stored in File Manager are the property of the Office of the Campus Secretary, Mindanao State University–Sulu. You must not copy, distribute, or disclose any documents to unauthorized parties. The system maintains a full audit log of all user actions. These logs may be reviewed by administrators at any time.
4. Availability
The system is provided on an as-is basis. The administration reserves the right to suspend or terminate access at any time without prior notice for violations of these terms or for maintenance purposes.
5. Changes to These Terms
These Terms and Conditions may be updated periodically. Continued use of the system after changes are posted constitutes your acceptance of the revised terms.
